Robert Manole (Alphai)

Data controller

The controller is Robert Manole, trading as Alphai. For any question about this policy or your data write to info@alphai.it. This notice is given under Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR) and covers this website and the virtual assistant it contains.

What data we collect

Contact form: name, email, the service you are interested in, the problem you want to solve and the optional message you write. Virtual assistant: the text of the messages you send during the conversation. Booking a call: the details you enter in the Cal.com calendar. Email and WhatsApp: what you send us when you write, such as email address, phone number and message. Site statistics, only with your consent: pages visited, device type and a shortened IP address, collected by Google Analytics. Technical data: IP address and browser information, handled by the hosting service to deliver pages and protect the site. We do not collect special categories of data (health, opinions, financial data): please do not write them to us.

Why we use it and on what basis

To answer your requests and prepare a quote, including at your request before a contract (Article 6.1.b GDPR). To provide the virtual assistant and book a call, to carry out what you ask (Article 6.1.b). Site usage statistics, with your consent (Article 6.1.a). Site security and preventing abuse and spam, for our legitimate interest in protecting the service (Article 6.1.f). Legal, tax and accounting duties if you become a client (Article 6.1.c). We do not profile, sell your data or use it for advertising.

What happens to assistant messages

The assistant is an AI system, not a person. The text you write, with the earlier messages of the same conversation, is sent to the AI model provider to generate the reply (today Google, with the Gemini model). Alphai does not store conversations and uses no cookies for the assistant. To limit abuse we keep a request counter tied to the IP address in memory for one hour at most; message content does not enter the logs. Do not write sensitive data or other people's data.

Who receives your data

We use providers that process data on our behalf, appointed as processors: Vercel Inc. (site hosting), Resend (sending the form emails), n8n (automation on our own server that forwards the request), OpenAI or Anthropic (AI provider of your choice, used in customer automations to write the replies), Google Gemini (only for Alphai's internal flows: drafts a reply that a person reviews before it is sent), Google (virtual assistant, the email service that receives requests and, only with consent, Google Analytics), Cal.com (call calendar, an independent controller for booking data, its own notice applies). If you write on WhatsApp, the service is run by Meta under its own notice. Data is not published and not passed to third parties for their own purposes.

Transfers outside the European Union

Some providers are based or hold servers outside the European Union, notably in the United States. Transfers use the safeguards the GDPR provides: an adequacy decision (EU-US Data Privacy Framework) or the European Commission's standard contractual clauses.

How long we keep it

Form requests and emails: up to 24 months after the last contact, then deleted, unless a working relationship starts. Clients' accounting and tax records: 10 years, as the law requires. The assistant's anti-abuse counter: one hour at most. Google Analytics data: 14 months. Assistant messages: not kept by Alphai.

Cookies

The site uses technical cookies and, only with your consent, Google Analytics cookies. It uses no advertising or profiling cookies. Details and how to change your choice are on the Cookie page.

Your rights

You can ask for access, correction, deletion, restriction and portability of your data, and object to processing, by writing to info@alphai.it. We reply within one month. You can also complain to the Italian data protection authority (garanteprivacy.it).

Required data and changes

The name and email fields of the form are needed to reply: without them we cannot handle the request. Everything else is optional. If this policy changes, we update the date at the top.
